Chief Financial Administrative Assistant – Oceanside Library

CHIEF FINANCIAL ADMINISTRATIVE ASSISTANT – BUSINESS OFFICE

RESPONSIBILITIES – duties include, but not limited to:

  • General bookkeeping.
  • Ensuring accurate maintenance of financial records and preparation of financial statements and reports, including all end of the year reports.
  • Coordinate with payroll.
  • Oversee daily receipts and entering approved invoices.
  • Coding and entering mid-month and monthly bills.
  • Reconciliations, summary reports of revenues, expenditures, and balances, and any other requested reports for the Board, Administration and Board Meetings including Petty Cash and monthly reimbursement checks.
  • Review vendor statements for payments.
  • Maintain contracts, renewals, and review proposals.
  • Assist with audits and budget preparation.
  • Attending Board Meetings, workshops, meetings on and off-site as requested by the Director.
  • Apprising Board and Library Director of financial trends and concerns.
  • Additional projects, ordering supplies and back-up coverage to administrative office duties as needed.

QUALIFICATIONS:

  • Bachelor’s degree in accounting, finance or closely related field.
  • Working knowledge of QuickBooks, Microsoft Excel and Microsoft Word.
  • Knowledge of Google Suite is a plus.
  • Computer literate – able to learn new software and programs.
  • Ability to adapt to change – as changes in the duties, facility and field occur.
  • Productive, well organized, attentive to detail and accurate.
  • Communicate clearly and effectively – concisely in person, online and via phone.
  • Flexible, able to self-start, work successfully independently and as a team.
  • Take initiative as appropriate.
  • Ability to multi-task and meet deadlines. Strong time management skills.
  • Responsibly and ethically handle confidential information.
  • Strong commitment to excellent customer service in a service-driven organization.

Salary is based on experience as well as demonstrated skills.
