Title: Director of Information Access and Management, Law Firm

 

Educational Requirements: MLIS, MIS, MLS required

Paralegal, JD, LLM, or experience working in a law library preferred but not required.

BS in computer sciences a plus.

Languages: Fluent in written and spoken English required, additional languages, especially Arabic and Spanish are a plus but not required.

Technology skills: The ideal candidate will have a basic understanding of the structure and development of databases; working knowledge of information storage and retrieval systems; experience with database search and retrieval usability analysis including the ability to identify flaws in search and retrieval systems; and a basic understanding of performing an organizational assessment.

Travel: Some travel required; U.S. Passport required.

About the position: This job is with a busy law firm with offices in Riverdale, N. Bronx, NY; Los Angeles, CA, and Djibouti City, Djibouti, with satellite locations in Yonkers, NY and Dearborn, MI. The Director will primarily work out of the main office in Bronx, NY, but will be required to travel to and work at all offices periodically. Must love information organization and management!

The Director’s work will begin with an organization-wide needs assessment, followed by a report detailing the proposed changes and improvements, and proposed schedule and implementation of the needed improvements. Ultimately the Director will oversee, manage, and identify problems with, and make improvements to the electronic and physical information management systems. You will work closely with the web developer, database programmer, General Partner, attorneys, paralegals, and law clerks, to identify best practices for physically managing client files including ephemera; digitizing information; organizing file trees on local servers and digitized files in the online database; organizing and improving the physical and digital file cataloging system; and managing the physical and digital transfer of and access to information and files between all locations. You’ll provide training to all existing staff at all locations, and training to new staff as required.

In our ideal world, we’re all so delighted to have all the information we need right at our fingertips that everyone does a happy-dance first thing Monday mornings. Client files and ephemera are bar-code-located at all offices and are transferred between people, desks, shelves, travel cases, and other offices using the bar code system. The location of any file can be accurately determined Client documents and ephemera are converted to digital formats and uploaded to the online database. Locally produced court documents are stored on local servers, are uploaded to the online database, and are physically added to the client file. Other court documents are downloaded from the court database, stored on the local servers, uploaded to the online database, and physically added to the client files. Emails from government agencies and opposing attorneys are tagged with client ID numbers and are added to the physical and digital files. Responsibility for these tasks are assigned to specific positions or individuals who are adequately trained. Everyone has a checklist, and everything gets done in a timely manner. Any staff member anywhere in the world can locate any item or piece of information about a client with confidence and ease, in a matter of moments, knowing that everything is organized in such a way to support this and having been fully trained on using the systems. All staff members use the necessary technological tools, from MS Office, Whatsapp, and our online calendar, to our database and servers, with skill and confidence. Life is good.
